We are looking for a well organized, detail oriented Executive Assistant to support our team of Executive Partners. The Executive Partners are located in different offices and regions across the country and frequently require last minute support. The successful candidate will therefore need to have the ability to prioritize, take action and thrive in a fast-paced, high-growth, technology-focused organization.


Duties & Responsibilities 

  • Act as point of contact between executives and external stakeholders/individuals
  • Ability to manage multiple competing deadlines and multi-task effectively to ensure the day to day operation of the executive ‘virtual office’
  • Coordinate meetings, appointments, and correspondence for multiple executives with advanced calendar management skills
  • Manage and respond to telephone enquiries and electronic communication
  • Prepare internal and external correspondence including emails, letters, agendas and spreadsheets.  
  • Coordinate and manage travel arrangements and logistics, as well as various event planning as needed.
  • Preparation and management of expenses
  • Take meeting minutes, as required
  • Ad hoc tasks as needed to assist daily operations of the business
  • Assist with preparation of presentations and reports
  • Act as a gatekeeper to manage access to executives
  • Liaise with other Dentsu Aegis Network stakeholders and executives on behalf of Cardinal Path
  • From time to time may be required to act as a meeting delegate for executives, as required.

Preferred Skills/Qualifications

  • Degree or diploma in business or a related field, or equivalent experience
  • Minimum 5 years experience as an executive assistant or in a senior administrative role
  • Excellent computer skills, including knowledge in MS Office Suite and Google Suite
  • Excellent planning and time management skills
  • Proven ability to multitask and prioritize
  • High verbal and written communication skills
  • Ability to work in a fast-paced environment
  • Strong sense of confidentiality and discretion
  • Ability to meet deadlines, work with minimal supervision, and be able to support a demanding and high performance team
  • Demonstrated experience working with dispersed and/or remote teams
